Know how the site is doing

The Today screen shows arrivals, departures, who is on site and occupancy at the top, with who is booking online right now and what is owed below. It keeps itself up to date while you work. Reports show occupancy, revenue and booking trends over any period, by pitch type and by month, with no spreadsheet exports.

Payments and accounts without the matching

• Every payment, however it arrived, is matched to its stay by itself
• Every stay gets its invoice by itself on its last day
• A VAT export for your accountant, with shop sales and money that came in without a booking (like the washing machines) included
• Invoices for groups too, such as a school trip on a field you keep off online booking: held on the chart, paid by card from a link, in parts if they like
• Refunds go back through Stripe, including keep-the-deposit
• Give a guest credit, say to say sorry, and it comes off their next booking by itself

Card details go straight to Stripe and never touch Nimbo Stay. Payments go to your own Stripe account.

Staff timesheets and cleaning

Campsite staff clock on from their own phone and switch jobs with one tap. You see who is working right now and on what, and everyone’s hours and pay by week, month or season, split by kind of work. Different jobs can have different pay rates, and past hours keep the rate they were worked at. A clock left running overnight is caught and the person is asked when they really finished.

The cleaning board builds from your bookings, with changeover cleans, block checks at set times and one-off jobs. Staff can report a repair from the job and see it through until it is fixed. Each person only sees what you give them access to. See staff, cleaning and timesheets.

AI that does the busywork

AI reads each guest email, checks the guest’s booking, your prices and what is free, and writes the reply for you to check and send. Nothing sends by itself. It can also do desk jobs when you ask, like finding a free pitch or adding a night: it tells you what it will change and waits for you to press Confirm. It cannot cancel, refund or delete. Guests and their records

Each guest has one record with their contact details, every email they use, any credit, their members’ club membership and their stays. Guests with two records are spotted for you and merged in one click, with 30 days to undo. You can download everything you hold about a guest, or remove their details, when they ask, and guests who have not stayed for years have their details removed automatically.

Your data kept safe

Every change is copied to a separate backup machine within about a second, and the backup machine keeps its own hourly snapshots for 30 days that the main server cannot reach or delete. A full backup is taken every night, and each night we restore every site from backup and compare it with the live system. Each business has its own separate database. Read how we keep it safe.
